This Privacy Policy explains how AI4SP LLC. (“AI4SP”, “we”, or “us”) collects, uses, and discloses information about you. This Privacy Policy applies when you use our websites, mobile applications, and other online products and services that link to this Privacy Policy (collectively, our “Services”), contact our customer service team, engage with us on social media, or otherwise interact with us.

We may change this Privacy Policy from time to time. If we make changes, we will notify you by revising the date at the top of this policy and, in some cases, we may provide you with additional notice (such as adding a statement to our website or sending you a notification). We encourage you to review this Privacy Policy regularly to stay informed about our information practices and the choices available to you.

    COLLECTION OF INFORMATION

    Information You Provide to Us

    We collect information you provide directly to us. For example, you share information directly with us when you create an account, submit or post content through our Services, communicate with us via third-party platforms, request customer support, or otherwise communicate with us.

    • When you engage with us as consultants or advisors, any data is shared under a mutual NDA once we sign a contract. The types of personal information we may collect include your name, username, email address, public profile photo, organization name, affiliated organization type (e.g., academic, government, etc.), and any other information you choose to provide.

    AI-related data usage:

    Our company uses AI technology from OpenAI and from Microsoft Azure to power our advisors and tools. We don’t have access to the information you enter when using our interactive tools and that information isn’t saved on our servers or anywhere else. OpenAI and Microsoft Azure OpenAI have a policy that they won’t use the data you submit through their API to improve their AI models unless you choose to share it with them. They will retain the data collected from our AI-powered tools and advisors for abuse and misuse monitoring purposes for a maximum of 30 days, after which it will be deleted (unless otherwise required by law).

    • We do not collect information about your activity on our Services.

    Information We Derive

    We may derive information or draw inferences about you based on the information we collect. For example, we may make inferences about your location based on your IP address, only when required in case we detect abuse or fraud.

    USE OF INFORMATION

    We use the information we collect to provide, maintain, and improve our Services. We also use the information we collect to:

    • Communicate with you about products, services, and events offered by AI4SP and others and provide news and information that we think will interest you (see the Your Choices section below for information about how to opt out of these communications at any time);

    • Send you technical notices, security alerts, and support and administrative messages;
    • Respond to your comments and questions and provide customer service;
    • Monitor and analyze trends, usage, and activities in connection with our Services;

    • Carry out any other purpose described to you at the time the information was collected.

    SHARING OF INFORMATION

    We share personal information in the following circumstances or as otherwise described in this policy:

    • Only if you disclose personal information to us in the course of engaging in a consulting, advisory, or similar agreement, we might share personal information with vendors, service providers, and consultants that need access to personal information to perform services for us, such as companies that assist us with web hosting, fraud prevention, customer service, and marketing and advertising.
    • We will not sell, trade, or disclose externally any individually identifiable information derived from your completion of any web form or use of a AI4SP online service, including names and addresses, without your consent (except as required by subpoena, search warrant, or other legal process). We do not share your information with outside companies or list marketing services.
    • We may disclose personal information if we believe that disclosure is in accordance with, or required by, any applicable law or legal process, including lawful requests by public authorities to meet national security or law enforcement requirements.
    • We may share personal information if we believe that your actions are inconsistent with our user agreements or policies, if we believe that you have violated the law, or if we believe it is necessary to protect the rights, property, and safety of AI4SP, our users, the public, or others.
    • We may share personal information in connection with, or during negotiations concerning, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company.
    • Personal information is shared between and among AI4SP and our current and future parents, affiliates, and subsidiaries and other companies under common control and ownership.
    • We also share aggregated or de-identified information that cannot reasonably be used to identify you.

    PRODUCT-SPECIFIC PRIVACY INFORMATION Copilot Ada

    In addition to the general privacy practices outlined in this policy, special provisions apply to our Copilot Ada service:

    • User Authorization and Access:
      • Copilot Ada is a fully managed B2B offering accessible only to authorized users with an email address provided by the client’s customer.
      • Access is managed through OAuth as provided by Automattic (WordPress.com) and social login functionality provided by LoginPress.
      • AI4SP LLC does not have access to user passwords or account information.
    • Personal Information:
      • The only personal information we collect for Copilot Ada is the user’s email address.
      • Users can only modify their password if they create one instead of using social login credentials.
    • Data Handling for Copilot Ada:
      • We store only the user’s email address.
      • Website administrators can see user email addresses but cannot edit this information.
      • User login information is governed by the chosen social login provider (Google, Microsoft, or LinkedIn) if social login is used.
      • All user data is deleted from our servers when the company subscription expires.
    • Data Sharing: We do not share your Copilot Ada data with third parties.
    • Confidentiality: Copilot Ada is a private and confidential service. By design (patent-pending), users cannot share confidential company information with Copilot Ada.

    COOKIES POLICY

    On our website and all the sites commissioned by clients and managed by us:

    • We only use the essential cookies managed by our hosting company, Automattic, to ensure we give you the best experience. You can see their policy regarding those essential cookies by visiting their cookies policy page.
    • WE DO NOT USE ADVERTISING COOKIES, ANALYTICS COOKIES, GOOGLE ANALYTICS, OR TRACKING COOKIES OR PIXELS.
    • We use Plausible.io, which does not use cookies or pixels and is GDPR, CCPA, and cookie-law-compliant site analytics.

    ANALYTICS SERVICES PROVIDED BY OTHERS COMPLIANT WITH GDPR AND PECR

    We allow others to provide analytics services on our behalf across the web and in mobile apps. We carefully select entities that DO NOT use cookies, web beacons, device identifiers, and similar technologies to collect information about your use of our Services and other websites and applications. As of the last revision date of this policy, we use Plausible Analytics, and all the site measurement is carried out absolutely anonymously. Cookies are not set, and no personal data is collected.

    This makes us compliant with the different cookie laws and privacy regulations such as GDPR, CCPA, and PECR.

    All data is in aggregate only. AI4SP  gets some actionable data to help us learn and improve, while the visitor continues to have a pleasant and enjoyable experience.

    TRANSFER OF INFORMATION TO THE UNITED STATES

    AI4SP is headquartered in the United States, and we have operations and service providers in the United States. Therefore, we and our service providers may transfer your personal information to, or store or access it in, jurisdictions that may not provide levels of data protection that are equivalent to those of your home jurisdiction. We will take steps to ensure that your personal information receives an adequate level of protection in the jurisdictions in which we process it.
